OBJECTIVES OF THE PROGRAMME
The Department of Procurement and Supply Services aims to
ensure high-quality, consistent and responsive supply services through a
collaborative approach that supports the efficient delivery of WHO programmes.
DESCRIPTION OF DUTIES
Inventory coding: Codification of new inventory
items:
- Respond
to requests for Creation/Coding of items for all warehouses.
- Review
and analyse the inventory lists of new warehouse locations, in
coordination with the Assets Management Team, and prepare an inventory
list for uploading into the Inventory Module, in coordination with IMT.
- Liaise
and collaborate with Regional focal points, warehouse managers and
associated technical units to obtain all required data.
- Define
and codify all components in kits to allow disassembly and reassembly in
the Inventory Module.
- Create
new items in accordance with existing codification rules and naming
convention for item descriptions.
- Emergency
items coding: Liaise with Emergency teams to ensure creation of codes and
descriptions of the “Emergency list of items”, and encoding of the
associated specifications (weight, volume, etc.).
Business Management System - Contribution to the
data readiness for development of the future ERP project:
- In
line with the project data strategy, clean up existing data, and with the
project architect, prepare for the export to the new system.
- Provide
expert input to the future coding data system, research on industry best
practice for product categorization, warehouse/inventory, asset tagging,
naming conventions for medical and non-medical supplies.
- Codify
and rename all items that need to be added or migrated to new ERP
inventory list, historical purchase list or standard list, following the
methodology described in the “Items naming and coding convention” or any
new standard to be adopted.
- Provide
expert input in the design of the future supply chain data format (if any
digital data standardization foreseen).
Catalogue coding: Codification of items for catalogue:
- Respond
to requests for Creation/Coding of all items for the WHO eCatalogue.
- Liaise
with relevant staff and technical unit for creation of items for catalogue
purpose and to obtain all required data.
- Liaise
with Procurement team for tender activities, to define list of items and
specifications to be included in the list of items to tender.
- Contribute
to the development of non-medical products specifications.
Supply Chain Standardization of items:
- Respond
to requests for Creation/Coding of all items for the Supply Chain
Standardization exercise.
- Maintain
and produce reports on the Standard Items database.
Corporate Procurement reporting:
- Produce
official corporate Procurement reports for Donors and Inter-agencies
committee.
Other tasks:
- Documentation
of Standardization, Creation/Coding process.
- Creation
of Item Management SOPs.
- Other
related duties as assigned.
REQUIRED QUALIFICATIONS
Education
Essential: A first university Degree in Logistics,
Supply Chain Management, Information Systems, Business Administration,
Engineering or related field.
Desirable: Training
in procurement, CIPS, SCOR, or equivalent would be considered as an asset.
Experience
Essential:
- At
least 5 years of professional experience in the area of data management
within the supply chain area of which at least 2 years in the UN system.
- Proven
experience in product data management and item coding, including
transitioning to a new ERP system.
Desirable: Experience as data analyst or similar function, with proven
experience in a business analyst function within the supply chain area.
Skills
- A
sound knowledge of best practices of procurement and/or category
management, and inventory management, warehousing.
- Technical
knowledge of the different types of goods and respective coding systems.
- Ability
to work independently and especially under pressure when working with
emergency contexts.
- Ability
to take a leadership role and work independently.
- Persuasive
and clear communication and interpersonal skills.

REMUNERATION
WHO salaries for staff in the Professional category are
calculated in US dollars. The remuneration for the above position comprises an
annual base salary starting at USD 64,121 (subject to mandatory deductions for
pension contributions and health insurance, as applicable), a variable post
adjustment, which reflects the cost of living in a particular duty station, and
currently amounts to USD 2698 per month for the duty station indicated above.
Other benefits include 30 days of annual leave, allowances for dependent family
members, home leave, and an education grant for dependent children.
