LOGISTICS COORDINATOR - UNIVERSITY OF MARYLAND BALTIMORE

Job description

Logistics Coordinator
Reports to: Operations Manager

Position Summary: 

The primary responsibility for this position is to provide consistent and quality programming logistic support services to all project staff . These services include arranging of all logistics for in-country and visiting personnel and the handling of program administrative tasks. This includes coordination for transportation, accommodation, events, and scheduling.

Requirements

Essential Job Functions:
Arrange all domestic and international travel for staff and visitors
Arrange accommodation including hotel transfers for staff and visitors
Work closely with the Training Coordinator other technical staff to organize workshops, in terms of logistics, venue arrangement, provision of materials
Oversee project vehicles and ensure they are maintained in line with the organization’s policies
Facilitate settling in of project foreign staff and domestic staff who are relocated to different parts of the country
Track staff movements
Fleet management - drivers supervision, vehicles management, transport allocation and vehicle scheduling, vehicle maintenance, vehicle logs
Fuel allocation to vehicles
Asset and inventory management - maintaining asset register, managing office day-to-day inventory and manage all office assets

Qualifications and Experience:


Bachelor’s degree in Logistics or Project Management
At least 5 years’ experience in a reputable organization
Excellent writing and communication skills
Excellent organization and coordination skills

Project Management Specialist
Reports to: Project Chief of Party

Position Summary: The Project Management Specialist will provide project management support to the project supporting the Chief of Party and the Directors of Site Improvement and Training Systems Development. The Project Management Specialist will be responsible for documenting project work plans, implementation progress monitoring, reporting and lessons learned dissemination.

Requirements

Essential Job Functions:
Work with the clinical team in program activities planning and keep track of what is going on throughout the program;
In consultation with the Directors of Site Improvement and Training Systems Development trouble shoot difficult program problems throughout the project value chain
Enhance health care management capacity of District Health Management Teams to ensure optimal support for HIV care and treatment services
Ensure that program implementation follows donor and institutional policies
Serve a repository of information with respect to progress in delivering SOW including key lessons learnt and best practices
Work closely with the HQ Program Management Office and the International Finance Office and ensure that the country program is managed within the agreed budget and that all financial guidelines are adhered to.
Work with finance team to develop project budgets and carry out expenditure analysis on a timely basis and work with the project team to re-program funds where necessary in order to effect programming priorities
Enhance capacity of project teams to manage by ensuring effective interface between technical, operations and financial management functions
Document key lessons learned in program implementation and share them with the project teams and with HQ for cross-country learning and benchmarking where possible
Prepare program plans, reports and other working documents in collaboration with other project team members and ensure they are finalized and submitted on time

Qualifications and Experience


MBA or MPH with proven project management competence
At least 5 years experience managing and/or supporting health projects
Management consulting experience desired
Excellent writing, communication and costing/budget development and management skills
