to: Senior Administration & Records officer
Main purpose of the job
To operate the switchboard, welcome clients and direct them accordingly to the
relevant offices and or persons. Provide administrative support to other
functions
Key performance Areas
• Operate and answer the switchboard
• As the first point of contact the incumbent will attend clients, ascertain
nature of visits and direct them accordingly
• Inform the requested contact person of the client’s visit and direct callers
to the specific location
• Provide appropriate responses to the client’s enquiries
• Screens incoming calls and when appropriate answer routine queries and or
refer calls to an alternate source
• Ensures that the reception is kept clean and presentable at all times
• Collates and distributes accurate telephone reports to staff members
• Reports telephone faults and monitors repairs
• Undertake such other duties as assigned by the supervisor
Experience and Qualifications
• Certificate in Secretarial Studies or equivalent
• Minimum of 2 years’ experience operating a switchboard and office
administration
