Responsible for the overall
management of company Shared Services Employee and Transactional Services
functions and processes to ensure highest level of service delivery to
company business units and HR Business partners while maintaining quality
assurance and compliance in accordance with company policies and legislation.
Responsibilities include :- Service Delivery: • Liaise with Business Units to define area specific service delivery requirements, minimum service level requirements and feedback on performance of the Shared Services; • Define and implement service level agreements and measurement criteria, including mechanism, to ensure management of performance of the Shared Services in accordance with service level agreements; • Implementation and management of HR administration mechanisms, tools, systems, policies and procedures to continuously improve service delivery of the Shared Services; • Define and maintain a service management structure for Shared Services to measure the effectiveness and productivity of services offered and processes; Employee Services: • Ensure meticulous management of query response and resolution times against Service Level agreements and performance metrics and ensure relevant escalation channels are adequately utilised; • Ensure regular feedback and communication is provided to company Staff, Line Management and HR Business Partners in accordance with procedures and service level agreements; • Create awareness and educate Line Management in the application of policies and procedures in line with business objectives whilst ensuring compliance with the relevant legislations (BCEA, LRA, EEA, OHSA, SDA, SLA, etc.) Transactional Services: • Ensure accuracy of company Payroll (South African) in accordance with relevant Payroll Schedules; • Ensure accurate and timely processing of HR administration in accordance with company procedures and relevant legislation requirements; • Ensure accurate capturing, maintenance and storage of employee and organisational data and records to allow for reliable reporting; • Conduct informal audits to ensure compliance within HR Services Department. Reporting: • Ensure compilation, analysis, review and distribution of all Payroll and Administration Reporting requirements ensuring timely and accurate reporting; Staff Management: Quality Assurance and Compliance: • Conduct regular quality assurance exercises to ensure minimum standards are adhered to; • Liaise with COE regarding process improvements and concern areas to determine and implement corrective actions to ensure continuous improvement of procedures; • Involvement in internal and external audits as required; • Identification and implementation of initiatives to ensure minimum quality standards are met and maintained; • Management of employee segregation of duties and levels of authority in accordance with policies and management of risk; • o Ensure the implementation and monitoring of controls and procedures within Payroll and HR administration processes Requirements:- • A 3 years Tertiary Qualification in Human Resources, Business Administration or Finance • Formal training in SAP - HR • Atleast over 6 years extensive experience in an HR Payroll environment (experience in a shared services) • Administration and Records Maintenance experience • People Management and supervisory experience • Knowledge and Competencies • Establishment of Service Level agreements and management of relationships with a variety of stakeholder groups; • Measurement of Shared Services Service delivery against agreed service level agreements; • Compliance of/to company HR Policies and procedures and legislation; • Strict confidentiality of personnel information is required at all times; • Compliance with company Conditions of Employment and HR Policies and procedures. • SAP configuration. • TCE structuring, implementation of changes and advice on structuring. • Accuracy and consistency of reporting; • HR Services Satisfaction index; • Personnel Development according to PDP’s and business area requirements. • Management of subordinates performance and development; |
